Reuse means that a single piece of content (sentence, paragraph, topic, etc) can be repurposed without the need to copy and paste it or reformat it manually. For example, a product description could be used in a printed book such as a user guide, an online marketing brochure in PDF, online help, HTML text on a web page.&lt;br /&gt;&lt;br /&gt;The main reason that single sourcing is important is to avoid the situation where there are multiple instances of the same content that need to be kept up-to-date. If the content needs changing, you must change the content in all instances. If you don’t change all the instances, the content quickly becomes obsolete, inconsistent, contradicting, or incorrect. This situation usually happens when content is copied and pasted from one document to another.&lt;br /&gt;&lt;br /&gt;XML is generally considered the best approach for single sourcing because it separates content from formatting allows content to be reused across different content types, has a semi-structured format that describes the content (metadata), and can be processed automatically in many different ways.&lt;br /&gt;&lt;br /&gt;However, this does not mean that XML is the only way to single source content. For example, a number of proprietary content creation tools, such as FrameMaker and RoboHelp include support for single-sourcing. This support can include the ability to output to different formats such as HTML and PDF, the ability to reuse text by reference, and conditional text. The big disadvantage of this approach is that the tools are proprietary and are generally specific to certain content types. For example, you can’t directly reuse a RoboHelp topic in a FrameMaker file.&lt;br /&gt;&lt;br /&gt;XML increases:&lt;br /&gt;&lt;br /&gt;&lt;ul&gt;&lt;li&gt;Content quality—by separating presentation from content, you must concentrate on the quality of the content rather than the appearance. XML also requires compliance with a DTD or Schema, which gives you control over the completeness and consistency of documents. &lt;/li&gt;&lt;li&gt;Presentation flexibility—separating the presentation from the text gives you more flexibility in the media to which you can output your content. &lt;/li&gt;&lt;li&gt;Customization—you can define your own XML tags and content structure with a DTD or XML Schema. The DTD makes XML highly customizable. You can define tags that writers as well as programs can find useful. &lt;/li&gt;&lt;li&gt;Accessibility—XML is future-proof and compliant with all platforms because anyone can write a program to render the documents. &lt;/li&gt;&lt;li&gt;Manipulation of data—because XML is self-describing it has built in metadata. Metadata is a powerful tool for searching and organizing document content.&lt;/li&gt;&lt;li&gt;Viewing and editing flexibility—XML is non-proprietary, which means that no single entity has exclusive rights to its use. An increasing number of technologies support XML. A non-proprietary format avoids the problem you can have viewing and editing files in proprietary format. You can access an XML document with any software that supports XML, regardless of the program used to create the document. &lt;/li&gt;&lt;/ul&gt;&lt;p&gt;XML documents are published by converting them into different formats. This is typically done using a stylesheet and/or custom software. You may see these stylesheets referred to as XSLT (eXtensible Stylesheet Language for Transformations) and XSL:FO (eXtensible Stylesheet Language: Formatting Objects). A stylesheet contains the instructions for converting an XML document into a specific format. The instructions are a kind of programming language, and therefore require specialist knowledge to create. Writers typically do not need to know the details about how the stylesheets work or how their XML files are processed.
